Invoice template for freelancers: what to include
An invoice is a request for payment. The best ones are boring: a client can find the amount, the due date and where to pay in a few seconds. Here is a simple layout you can copy into any tool, on paper or on your phone.

The fields an invoice needs
- Title: "Invoice", your name or business name, and your contact details.
- The client's name and address or contact.
- An invoice number and the date it was issued.
- Each item with a short description, quantity, unit price and line total.
- The total, with any tax shown separately if you charge it.
- The due date, and the payment details: bank account or the method you accept.
- A line about late payment if you have terms for it.
A layout in four steps
- Put who and when at the top
Put who and when at the top: your details, the client, the invoice number and the date.
- Put the items in the middle
Put the items in the middle, one per line, with the total at the bottom right.
- Put the due date and payment details directly under the total
Put the due date and payment details directly under the total, not in small print.
- Add notes last
Add notes last: your terms, a thank-you, and anything the client needs to put on their payment.
Numbering
Use a running number you will not repeat, such as 2026-001, 2026-002. If a client asks about an invoice, a number lets you both find it fast.
What an invoice from an app does not replace
A simple invoice is a commercial document that asks for payment. In places where an official tax invoice is required, such as a Taiwan uniform invoice or e-invoice, a simple invoice does not replace it.
Making it on your phone
Paidstamp creates invoices from an accepted quotation, so you do not retype the items. An invoice past its due date turns red in your list, and a ready-made reminder message is available. When you are paid you can make a receipt in one tap. See from quotation to invoice and receipt and the Paidstamp page.
Frequently asked questions
Do I need an invoice number?
It is not just tidy: many clients' accounting needs it, and it lets you find the invoice later.
Where do I put my bank details?
Put them directly under the total, with the due date, so the client does not hunt for them.
Can I charge for late payment?
Only if you state it in your terms before the work. Check your local rules on interest and fees.
How is an invoice different from a receipt?
An invoice asks for money. A receipt confirms it was paid. See how to write a quotation for the step before an invoice.
Quotation, invoice and receipt in one app
Paidstamp turns an accepted quotation into an invoice and then a receipt, without retyping the items.
