One Background Color for Staff, Student and Membership Card Photos
A staff badge or a membership card looks tidier when every photo has the same plain background. People send photos taken in kitchens, parks and offices, and you need them to match.

This guide is for internal cards, such as a staff badge, a school card or a club membership. It is not for passports, national ID cards or visas. The Passport photo maker offers two ways to do it, and this guide explains which to choose. For official photos, see passport photo rejected.

Two ways to get a consistent background
- Retake against one plain wall. If you can, photograph everyone in the same place with the same plain background. It is the most honest option and needs no editing.
- Crop only. The site's FAQ says the no-edit crop only crops and resizes your original photo. (FAQ) It does not change the background.
- AI mode. The FAQ says AI mode removes the background and adds a plain one; it does not retouch your face, but a replaced background is still an edit. (FAQ)
Why this is not for passports or national IDs
The FAQ says many governments reject photos with a replaced background, and that no photo is guaranteed to be accepted because each government sets its own rules. (FAQ) Keep official photos separate from internal cards.
How to change an ID badge photo background
- Agree the rules for the card
Size, whether glasses and smiles are fine, and what the background should look like. Write them down.
- Ask people for a photo
Plain clothes, face the camera, daylight in front, no hat or sunglasses, nothing strongly coloured behind. Send the same short instructions to everyone.
- Tell people what will happen
If you use AI mode, the photo will be processed by an AI tool; the crop-only mode only crops and resizes your photo on your device. The photo will be printed on the card. Get their agreement. Only upload photos of people who agreed.
- Test one photo
Open the Passport photo maker, upload it, check the options and the price before it runs.
- Compare the new background with the original
Look at hair edges, ears, glasses and clothing edges at 100 percent. If anything is wrong, use the original or ask for a new photo.
- Repeat for everyone with the same settings
Use the same options for all photos.
- Download and keep the originals
Results are kept for 24 hours. The Privacy Notice says results are fully deleted from storage within 7 days. Keep every original file.
When to retake instead
- Glasses with glare, hair against a similar-coloured wall, a person with a hat, and photos with another person's shoulder in the frame.
- Anything where the edge of the head looks rough after processing.
Keep the badge photo accurate
The card's photo should still look like the person. Don't use the tool to change a person's face, age or features.
Frequently asked questions
Can I use this for a passport?
No. Official photos have their own rules; see the guide on rejected passport photos.
Does AI mode retouch my face?
The FAQ says it does not retouch your face, but a replaced background is still an edit.
Is the crop-only mode enough?
It only crops and resizes. It will not change the background.
Do I need everyone's consent?
Yes, collect it before you upload anyone's photo.
Do I get credits back if the badge photo fails?
When a badge-photo run fails, nothing is charged and the held credits return automatically. If the badge photo is still awaiting confirmation, the credits can stay on hold until that confirmation is done.
Try one card photo
Upload one photo, check the options and the price before it runs, and compare with the original.
